GUIDELINES FOR EDITORS
This guide is intended for Journal Editors, Section Editors, Guest Editors, Editorial Board Members, Copyeditors, and Production Editors involved in managing manuscripts through the OJS editorial workflow.
1. Overview of the Editorial Workflow
The editorial workflow in OJS consists of the following stages:
- Submission
- Review
- Copyediting
- Production
- Publication
- Post-Publication
2. Managing Submissions in the Dashboard
Editors manage manuscripts through the Dashboard.
- Monitor active submissions.
- Track assigned tasks.
- Follow review and editing deadlines.
- Review submission histories.
3. Submission Stage
New manuscripts first enter the Submission stage.
Editors should:
- Assess the manuscript's suitability for the journal.
- Check compliance with submission requirements.
- Assign an Editor if necessary.
- Decide whether to send the manuscript for review or decline it.
4. Review Stage
Editors coordinate the peer-review process.
- Select and invite reviewers.
- Monitor review progress.
- Send reminders when necessary.
- Evaluate reviewer reports.
- Request revisions from authors.
Based on reviewer recommendations, Editors may:
- Accept Submission.
- Request Revisions.
- Resubmit for Review.
- Decline Submission.
5. Copyediting Stage
Accepted manuscripts move to Copyediting.
Editors and Copyeditors may:
- Correct grammar and language issues.
- Standardize terminology.
- Verify references and citations.
- Improve manuscript presentation.
Authors may be asked to review copyedited files.
6. Production Stage
After copyediting, manuscripts move to Production.
- Create publication-ready PDF files.
- Prepare HTML or XML versions if applicable.
- Check final formatting.
- Assign DOI and publication metadata.
Editors perform a final review before publication.
7. Issue Management and Publication
Journal Managers and Journal Editors may:
- Create new issues.
- Schedule articles into issues.
- Arrange article order.
- Review publication information.
- Publish the issue.
8. Communication and Discussions
The Discussion feature can be used to communicate with:
- Authors.
- Reviewers.
- Editors.
- Production staff.
All communications are archived within the submission record.
9. Post-Publication Management
After publication, Editors may:
- Create new article versions.
- Update metadata.
- Issue corrections, errata, or retractions when necessary.
10. Editorial Responsibilities
- Maintain fairness and transparency in peer review.
- Protect manuscript confidentiality.
- Follow publication ethics and best practices.
- Ensure the scientific quality of published content.
